Terms Car Rental

In order for it to be easy for you to get an overview, you will first find a summary of the most important conditions. Further down shows all conditions.

Terms and conditions - summary

Age – and driving license:
Minimum age to rent a car is 19 years. Driver must have had a valid driving license for at least 1 year

Opening hours – collection and return:
Our opening hours are 09-16 Monday to Saturday. Normally, collection and delivery of the car must take place during opening hours. If you wish to collect or deliver the car outside opening hours, let us know. Picking up a car outside opening hours may incur a fee. When it comes to delivery, the car can be parked and the key left in the key box outside our office in Andreas Linds gate 9. Remember to send an SMS to +47 46117026 when the car has been delivered.

Fuel – full to full:
Full to full applies. If we have to top up after handing in, you will be invoiced for spent fuel (petrol / diesel / electricity) as well as a top-up fee of NOK. 100.

Payment:
The amount for the whole rental period must be paid before pickup and the transaction will be charged to your credit card immediately. Customers without a credit agreement must deposit minimum NOK 1000 to cover Road Taxes etc. The rest will be released within a few days after ended rental period. All our prices are in NOK, including VAT.

Cancellation and late return:
Free cancellation up to 24 hours before pickup time. Cancellation fee is 30% of the rental agreement, minimum NOK 200. Although we try to be flexible, late return may result in a late return fee.

Pickup / return
Collection and delivery takes place at the company’s address Andreas Linds gate 9, 9406 Harstad, unless otherwise agreed.

Insurance:
All cars have insurance, however if there is damage to the car that is the drivers fault, there is a fee limited to NOK 12.000. If the customer buy a Super Insurance this amount will be limited to NOK 5000. 

Road toll and ferries
In Norway many roads have toll. We reserve a deposit of NOK 1000 and will pay back the remaining after we get the overview from the road toll companies and ferry companies. This may take up to 30 days. The deposit amount is shown together with insurance on your rental agreement.

What if the car breaks down?
Accidents can happen and cars can break down. Although we stirve to keep our cars in top technical condition, a breakdown can occur. In such cases we will try our best to help you both with pickup and providing a new car. However this is depending on many factors like, distance, time when it happens, if we have available cars etc. If you are stranded far away you may have to relay on public transport to get back. Always call Nordic Rent A Car immediately if an accident or breakdown occurs. If we don’t answer the phone, send us a email at booking@nordic-bilutleie.no.

Always check the fuel!
Believe it or not. Most breakdowns are caused by customers filling the wrong fuel! If your are not sure what to fill, ask for assistance at the petrol station or call us. Filling  wrong fuel may void the insurance.

Dents and scratches:
We recommend that you walk around the car and take a video or pictures before and after use! By doing this you have your own documentation in case there are doubts over damages. Sometimes customers are not aware that the car have been scratched. Imagine, just when you left the car at the parking space and went into a store, a child bumped into it with his bicycle and made a scratch, Nobody noticed and you are not sure if the scratch was there before or after you used the car. In such cases a video will give you peace in mind.

Dents and scratches – what will it cost?
Car repairs in Norway are expensive!  If you accidently bumps into a traffic sign or something, then you must expect to pay for the repair, the maximum amount is NOK 12000 (5000 with super insurance). We try to be reasonable, if we consider an immediate repair is not necessary we will normally charge you a modest fee or in some cases if the scratch is small, nothing at all.

What about a flat tire?
If we need to call Road Assistance you will have to pay an assistance fee. Be aware that the normal insurance wont’t cover replacing defective tires but the Super Insurance do. This applies to lost/broken keys as well.

Free driving distance:
We always have free KM on all rentals! Drive as much as you like without worrying about km fees!

Only in Norway!
Please observe that our cars are for use in Norway only. If you plan to drive out of the country a written agreement must be signed by us.

AGE
Minimum age to rent a car is 19 years. Driver must have had a valid driving license for at least 1 year. For some car types, we have higher age limits.

PAYMENT
The amount for the whole rental period must be paid before pickup. Both with manual payment with card at our office at pickup of the car – as with online reservation the transaction will be charged to your credit card immediately. 
Customers without a credit agreement must deposit when picking up a car. All deposits are made by reserving the rental amount plus a deposit (equivalent to approximately 20% of the rental amount / minimum NOK 1000) on the customer’s credit card. The amount reserved is always in the customer’s account, but it is not available to the customer. Due to automatic updating of toll passes from the toll companies, the contract is not settled until a few days after submission. After we have deducted the rental amount, any toll passes and fuel, the rest of the deposit will be released. The released amount is normally available to the customer 1-3 working days after settlement. All our prices are in NOK, including VAT.

CARS AND SELECTION
Customers can reserve/book a vehicle class, not a specific vehicle. Although we try to provide a vehicle according to the customers wishes, the choice of a specific vehicle depends on the availability.

CANCELLATION AND LATE RETURN FEE
All rental agreements are binding. Cancellation must be made at least 24 hours before pick-up time. Failure to do so will result in a cancellation fee. The cancellation fee is 30% of the agreed rental amount, minimum NOK. 200. Late return of the vehicle may result in a late return fee.

Normally, collection and delivery of the car must take place during opening hours. If you wish to collect or deliver the car outside opening hours, this must be agreed with us. Picking up a car outside opening hours will incur a fee of NOK. 250. When it comes to delivery, the car can be parked and the key left in the key box outside the office. Remember to send an SMS to +47 46117026 when the car has been delivered.

DEDUCTIBLE COVERAGE
Our rental prices include insurance. All rentals have a deductible in the event of damage. Basic insurance includes collision damage insurance (CDW) and car theft insurance (TP)

DEDUCTIBLE REDUCTION / SUPER INSURANCE (CDW)
You can reduce the deductible for a surcharge. Without the purchase of super insurance (CDW), our deductible is NOK 12.000. By adding super insurance, this is reduced to NOK 5,000. The insurance costs NOK 100 pr. day. (contact us for longtime rent) Subscription of deductible reduction must be made at the start of the lease.

PICK-UP / DELIVERY
Collection and delivery takes place at the company’s address at Andreas Linds gate 9 in Harstad unless otherwise agreed.

TOLL ROADS / AUTOPASS
Toll passes are charged many places. There is an administration fee of NOK. 65 by settlement. The renter will be responsible for any toll passes in the rental period.

FUEL / CHARGE
Full to full applies. If we have to top up after handing in, you will be invoiced for spent fuel (petrol / diesel / electricity) as well as a top-up fee of NOK. 100.

PARKING FEE
If you are charged a fee for incorrect parking, this is your responsibility, and the fee / fine must be paid immediately. Pay special attention to the many private parking spaces that often require payment around the clock. NB! Failure to pay the parking fee will result in a claim against you personally. Fees, as well as additional fees, can increase significantly.

FOREIGN FEE
It must be agreed in advance if the car is to be driven out of Norway, if we are not made aware of this, then insurance will not be valid.

OTHER TERMS

I. LIABLE RESPONSIBILITY
During the rental period and until the vehicle is returned to Nordic Bilutleie, the customer is fully responsible for the vehicle and its use as if he were the owner of this, including parking and traffic offenses and the like. The tenant is fully liable for all damage caused by and to the vehicle (ref. rental conditions).

2. Occurs collision damage, or other damage, Nordic Bilutleie or his insurance company may otherwise seek recourse from the tenant if the tenant has shown gross negligence or breached the obligations, he has under these lease terms. All damages must the tenant immediately report to Nordic Bilutleie or his representative. If this not possible, the case must be reported to the police. Otherwise, the tenant risks being held liable for the entire damage.
Theft, fire, vandalism, personal injury and damage to animals must always be reported to the police and Nordic Bilutleie.

4. The tenant’s deductible is immediately due for payment.

5. The tenant is charged a deductible per. injury case.

II. SELF-RISK COVERAGE
Except for deductible coverage and the tenant’s deductible restrictions, damage is caused to the vehicle as a result of negligence, including the following:

A. Damage caused to the car due to displaced cargo is poorly lashed or packaged.

B. Burnt or cut holes, stains on seat covers or the like.

C. Backing without a helper.

D. Rim driving of tires.

E. Damage caused by snow and ice avalanches from rooftops where there are signs.

F. Impact damage to body / chassis when using snow chains.

G. Damage caused by driving in places that do not have physical space for the vehicle in height, width, or length.

H. Damages as a result of driving off a public road or area closed to public traffic, without written consent from Nordic Bilutleie.

III. THE DRIVER RESPONSIBILITIES

The lessee is obliged to treat the vehicle in a responsible manner, and not:

A. Use the vehicle for practice driving

B. Take the vehicle out of the country without Nordic Bilutleie’s consent.

C. Use the vehicle illegally

D. Leave the vehicle to others – or let it be driven by someone other than the driver already accepted by Nordic Bilutleie before the lease started.

E. Use the vehicle for car races, speed tests or competitions.

F. Towing other vehicles.

G. Carry more people than the number for which it is registered.

H. Drive a rented vehicle in an unfit or intoxicated condition, be it alcohol, drugs, medication, lack of sleep or anything else.

I. Leave the car unlocked.

J. Loading the car with more than the vehicle is registered for. If the tenant violates any of these obligations, he is responsible for any financial consequences of damage, loss and additional costs.

2. Occurs collision damage, damage when driving downhill, etc. or a technical fault of such a nature occurs that the tenant cannot continue with the vehicle, the tenant is obliged to immediately notify Nordic Bilutleie of the incident. If technical faults can be rectified within a time that is in reasonable proportion to the tenant’s needs and the rental period, the tenant cannot terminate the tenancy. If this happens, the tenant will be responsible for the rent until the vehicle has been returned to Nordic Bilutleie – however, less the time when the vehicle was out of order. If the tenancy is terminated in such cases by the tenant, he is responsible for the expenses incurred by Nordic Bilutleie in connection with having the vehicle returned. If the repair cannot be carried out within the mentioned deadline, Nordic Bilutleie decides whether he wants to deliver a new vehicle to the customer for continuation of the tenancy, or whether the tenancy is to be regarded as terminated from the time Nordic Bilutleie was notified of the tenancy by the tenant. Nordic Bilutleie then arranges for the vehicle to be transported back at his own expense, and Nordic Bilutleie is then without liability for any loss or liability that the tenant may incur.

K. In addition, the tenant is responsible for extra cleaning due to spillage of fluids and/or animal hair on the seats and interior.

3. The tenant is obliged to ensure lubrication of the vehicle and to make oil changes in accordance with Nordic Bilutleie’s instructions or when this is deemed necessary. Expenses for oil are reimbursed by Nordic Bilutleie to the tenant against a receipt from the petrol station / service workshop with the car’s registration number and speedometer rating. Lubricating oil and cooling water as well as air pressure in all wheels must be checked at every other refueling.

IV. TENANT’S FINANCIAL RESPONSIBILITY
The tenant’s financial responsibility is specified in Nordic Bilutleie’s current conditions and price lists which the tenant, by his signature on this lease, accepts as part of this lease.

V. DISCLAIMER
Nordic Bilutleie disclaims any responsibility to the customer with regard to loss of time, money or anything else that may arise from, or be related to the rental agreement. If the ordered vehicle cannot be handed over due to conditions that the rental company cannot control (for example, late return from previous customer), then we will try to get an alternative car although there is no guarantee that this is always possible.
Nordic Bilutleie assumes no responsibility for damage to or loss of property that has been left, stored or transported in the vehicle by the tenant or other person during the rental period, or after return to Nordic Bilutleie. The tenant exempts Nordic Bilutleie from all claims that due to such losses or damages can be claimed against Nordic Bilutleie.

Important.
Unpaid or late paid fines / fees will be added extra fee. All fines should be paid immediately.
In connection with your rental, we have reserved an amount on your card, corresponding to the rental amount, plus a deposit. Reservation of such an amount is a prerequisite for renting a car with us if you do not have a company or invoice agreement. This will NOT be deducted from your account but will be reserved on your card / account until the car is returned and the lease is settled.

INFO ABOUT DEPOSIT / RESERVATION ON CARD
When the tenancy is terminated and settled, the actual cost will be charged to your card and the reservation will be canceled by us. We normally settle card charges within 72 hours after the car has been returned. Even if the reservation amount is never deducted from your account, in some cases it may still take a few days before the amount becomes available to you again. This is due to system conditions at your bank or card company. If you experience problems with this, please contact your bank or card company.

COMPLAINT
If there is something you are not satisfied with, you must first raise the matter with us as the vehicle lessor. Send us an email to booking@nordic-bilutleie.no
